We are looking for an Account Executive to join our dynamic team! The ideal candidate will be someone with a passion and talent for digital marketing, building client relationships and delivering successful client marketing goals and ROI.

The Account Executive is accountable and responsible for providing support on the day-to-day management and execution of client projects at Candybox. Responsibilities include coordinating project workflows, facilitating clear communication, maintaining status documents and client briefs, and supporting strategic meetings and performance reporting. The Account Executive is a proactive problem-solver and collaborator, demonstrating strong attention to detail, ownership of assigned tasks, and a commitment to delivering an exceptional client experience.

responsibilities

Client and Project Coordination

  • Act as the day-to-day client contact for tactical project execution, proactively managing communications, deliverables, timelines, and budgets.
  • Prepare and distribute weekly status sheets to clients, coordinate internal attendees, and capture/distribute meeting notes and action items.
  • Translate client assignments into clear internal briefs, ensuring alignment on objectives, expectations, and deliverables.
  • Coordinate cross-functional collaboration across Creative, Media, Strategy, Performance, and Project Management teams to ensure seamless execution.
  • Manage and maintain updated workflows in project tools (e.g., Monday.com, Toggl, Slack) to ensure project visibility and accountability.
  • QA client-facing deliverables for accuracy, branding consistency, and completeness before submission.

Performance Support

  • Gather and organize performance data and reporting materials from internal teams for client presentations.
  • Support Quarterly Business Reviews (QBRs) and performance conversations by preparing decks, coordinating logistics, and tracking follow-up actions.

Cross-Functional Communication

  • Act as a central connector across departments, ensuring clear direction, timely updates, and smooth collaboration among internal teams.
  • Adapt communication style to collaborate effectively across diverse roles.
  • Proactively flag risks, misalignments, or feedback delays to Managers/Senior Leadership to enable swift resolution and maintain project momentum.

Financial Awareness and Scope Management

  • Maintain awareness of project scope and financial boundaries, tracking out-of-scope requests, rounds of revisions, or project changes.
  • Assist in sourcing vendor quotes, managing billing triggers, and gathering inputs for invoicing and pre-billing processes.
  • Support accurate time tracking and financial documentation throughout project execution.

Workflow and Process Excellence

Project Lifecycle Management

  • Support all phases of the project lifecycle, including onboarding, strategy development, creative execution, media planning, campaign activation, optimization, and measurement.
  • Monitor workflows proactively, identifying risks, resourcing needs, or process bottlenecks, and escalate to Managers when needed.

Meeting Coordination

  • Schedule, coordinate, and attend key client meetings such as kick-offs, strategy sessions, creative reviews, media plan presentations, and reporting discussions.
  • Drive timely feedback loops with clients to ensure approvals and revisions stay on track.

Project Documentation & Communication

  • Prepare and maintain accurate project documentation, including project plans, status sheets, deliverable trackers, meeting notes, and contact reports.
  • Cascade critical updates internally and externally using standardized templates and communication tools.

Process Optimization & Best Practices

  • Champion best practices for internal collaboration and project management tools to ensure workflow consistency and team accountability.
  • Identify and recommend process improvements to drive operational efficiency and project quality.
  • Contribute to knowledge-sharing by documenting client preferences, workflow improvements, and key learnings for future use.
  • Support the adoption of AI-powered tools and automation solutions to enhance team productivity.

Financial Tracking Support

  • Maintain awareness of financial milestones and deliverables, supporting billing and invoicing processes as needed.

requirements for the role

  • College Diploma or Bachelor’s degree
  • Minimum of  1-2+ years of marketing or advertising experience, preferably agency experience in traditional consumer activities
  • Dynamic personality able to effectively engage and influence a variety of audiences
  • Exceptional organizational skills, with the ability to manage multiple priorities, timelines, and deliverables simultaneously.
  • Strong written and verbal communication skills, able to adapt messaging across diverse internal teams and client stakeholders.
  • Proactive problem-solving mindset, with a keen eye for identifying risks early and driving solutions forward.
  • Detail-oriented approach to quality assurance, ensuring deliverables meet branding, accuracy, and completeness standards.
  • Solid financial awareness, with the ability to track project scope, time, and billing inputs accurately.
  • Collaborative spirit, skilled at coordinating cross-functional teams and fostering internal alignment.
  • Comfort working in a fast-paced agency environment, with resilience under shifting priorities and deadlines.
  • Familiarity with project management and collaboration tools (e.g., Monday.com, Toggl, Slack) and a willingness to champion workflow best practices.
  • A growth mindset, eager to learn, adapt, and contribute to continuous process improvement and operational excellence.
  • Sound decision making skills based in agency, client and industry knowledge
  • Strong listening skills and attention to detail
  • Some travel may be required
  • Easily learn new software (reporting, tracking, AI)
  • Proficient in an Apple and Google Drive environment
